What Information Do I Need to Register a CoC on CoC Vault?

To register a CoC on CoC Vault, you need the CoC PDF from your SABS-accredited inspection body and nine metadata fields. All nine fields are found on the CoC document itself, except the CIF value (which comes from the commercial invoice). This article lists every required field and explains where to find it.

The Nine Required Fields

What to Enter During Registration

1. CoC Reference Number: The unique reference number assigned by the inspection body. Found in the header of the CoC document.

2. Issuing Body: The name of the SABS-accredited inspection body (e.g., "Bureau Veritas", "Intertek", "SGS", "TÜV Rheinland"). Found in the header or footer of the CoC document.

3. Issue Date: The date the CoC was issued. Found near the reference number on the CoC document.

4. HS Code: The Harmonised System tariff code for the goods. Found on the CoC document or confirmed with your clearing agent.

5. Importer Name: Your company name (the South African importer).

6. Manufacturer Name: The name of the manufacturer of the goods. Found in the body of the CoC document.

7. Country of Origin: Where the goods were manufactured. Found in the body of the CoC document.

8. Applicable SANS Standards: The SANS standard numbers that the goods were certified against. Found in the body of the CoC document, often in a table or list format.

9. CIF Value (ZAR): The Cost, Insurance, and Freight value of the shipment in South African Rand. Found on the commercial invoice, not on the CoC document.

Where to Find Each Field

Reading Your CoC Document

Fields 1–8 are found directly on the CoC document. The CoC reference number, issuing body, and issue date are typically in the header. The goods description, HS code, manufacturer name, and country of origin are typically in the body. The applicable SANS standards are typically in a table or list in the body.

Field 9 (CIF value) is not on the CoC document — it is on the commercial invoice for the shipment. Obtain the CIF value from your commercial invoice or from your freight forwarder. If the invoice is in a foreign currency, convert it to ZAR using the exchange rate on the date of shipment.

If the CoC references IEC or ISO standards rather than SANS standards, enter the IEC/ISO standard numbers — these are the international standards that SANS standards are based on and are acceptable for CoC Vault registration.

Common Questions

What If I Can't Find a Field?

If you cannot find the HS code on the CoC document, ask your clearing agent — they will have the HS code from the SAD 500 declaration. If the CoC is in a language other than English, enter the metadata in English based on your understanding of the document or with the assistance of a translator.

If the SANS standards are not explicitly listed on the CoC (some CoCs reference IEC or ISO standards instead), enter the IEC/ISO standard numbers. If you are unsure which standards apply, ask the inspection body.

If you make an error in the metadata after registration, contact CoC Vault support immediately. The metadata is recorded at the time of registration and cannot be changed after the minting fee is paid.

After Registration

What You Receive

After completing the registration and paying the minting fee, you receive a confirmation email with the verification URL and QR code. The verification URL is a permanent link to the CoC verification page. Share it with your clearing agent for inclusion in the SAD 500 documentation.

All your registered CoCs are accessible from the dashboard at /dashboard, with their verification URLs, QR codes, and metadata.

What information do I need to register a CoC?

The CoC PDF plus nine metadata fields: reference number, issuing body, issue date, HS code, importer name, manufacturer name, country of origin, applicable SANS standards, and CIF value (ZAR).

Where do I find the CIF value?

On the commercial invoice for the shipment, not on the CoC document. Convert to ZAR if the invoice is in a foreign currency.

What if the CoC references IEC standards instead of SANS?

Enter the IEC standard numbers. IEC standards are the international standards that SANS standards are based on and are acceptable for CoC Vault registration.

What if I make an error in the metadata?

Contact CoC Vault support immediately. The metadata cannot be changed after the minting fee is paid.

How long does the registration process take?

Approximately 10–15 minutes from uploading the CoC PDF to receiving the verification URL.
