How to Register a CoC Step by Step
Registering a PVoC CoC on CoC Vault takes approximately 10–15 minutes. This step-by-step guide covers every action from creating your account to sharing the verification URL with your clearing agent.
Step 1: Create Your CoC Vault Account
Onboarding at /mint
Visit certificatesofconformity.co.za/mint. Enter your email address and click "Sign in." A magic-link email will be sent to your address — click the link to create your account. No password is required.
After clicking the magic-link, you will be redirected to the onboarding payment page. Pay the R1,997 onboarding fee via Stripe (card payment in ZAR). Once payment is confirmed, your account is active and you have access to the minting station.
The onboarding fee is a one-time payment. You do not need to pay it again for subsequent CoC registrations.
Step 2: Upload the CoC PDF
At the Minting Station
At the minting station, drag and drop your CoC PDF into the upload area, or click to browse for the file. The CoC PDF must be the original document issued by the SABS-accredited inspection body — not a photocopy, scan, or screenshot.
As the file is uploaded, the SHA-256 hash is calculated in the browser using the WebCrypto API. The hash is displayed on screen as it is calculated — this confirms that the correct file has been uploaded and gives you a preview of the hash that will be recorded.
Maximum file size is 10 MB. If your CoC PDF is larger than 10 MB, compress it using a PDF compression tool before uploading. The hash is calculated from the compressed file, so ensure you keep the compressed version as your reference copy.
Step 3: Complete the Metadata Form
CoC Details
Complete the metadata form with the following information from your CoC document: (1) CoC Reference Number — the unique reference number on the CoC. (2) Issuing Body — the name of the inspection body (e.g., "Bureau Veritas"). (3) Issue Date — the date the CoC was issued. (4) HS Code — the Harmonised System tariff code for the goods. (5) Importer Name — your company name. (6) Manufacturer Name — the manufacturer of the goods. (7) Country of Origin — where the goods were manufactured. (8) Applicable SANS Standards — the standard numbers from the CoC. (9) CIF Value (ZAR) — the Cost, Insurance, and Freight value of the shipment.
The minting fee is calculated automatically based on the CIF value: 2% for shipments up to R1 million, 1% for R1–10 million, 0.5% for R10–100 million.
Steps 4 and 5: Pay and Receive the URL
Completing the Registration
Review the metadata and the calculated minting fee. Click "Pay and Mint" to proceed to the Stripe payment page. Pay the minting fee via card in ZAR. Once payment is confirmed, the CoC is registered and the verification URL is minted.
A confirmation email is sent immediately with the verification URL and QR code. The verification URL is also displayed on screen and is accessible from the dashboard at /dashboard.
Share the verification URL with your clearing agent. The clearing agent includes it in the SAD 500 documentation submitted to SARS Customs. The registration is complete.
How long does CoC registration take?
Approximately 10–15 minutes from uploading the CoC PDF to receiving the verification URL.
What do I need to register a CoC?
The CoC PDF from the inspection body, plus the following metadata: reference number, issuing body, issue date, HS code, importer name, manufacturer name, country of origin, applicable SANS standards, and CIF value (ZAR).
What is the maximum CoC PDF file size?
10 MB. If your CoC PDF is larger, compress it using a PDF compression tool before uploading.
When is the verification URL available?
Immediately after payment is confirmed. The URL is also sent in the confirmation email and is accessible from the dashboard.
Can I register multiple CoCs?
Yes. Each CoC is registered separately. The onboarding fee is one-time; the minting fee is charged per CoC registration.
